Q - Where do we check in?

A - The Conferences & Accommodation Front Desk is located in the Nicola Residence Building. Please refer to the campus map for the exact location of the Nicola Residence Building. Signs will also be posted on campus to guide you.

Q - How far away is the UBC Okanagan campus from downtown Kelowna?

A - UBC Okanagan is 20 minutes north of downtown Kelowna and is a 5 minute drive from the Kelowna International Airport.

Q - When is the front desk open?

A - The Conferences & Accommodation Front Desk is open 24 hours a day during the conference season, which is May to August.

Q - Do I need to pay for parking?

A - There is a daily charge for parking at UBC Okanagan. A parking pass can be purchased from the Front Desk or from any parking pass dispensers on campus.

Q - Where can I park my vehicle?

A - Guests are able to park in Lots R, G, C, E and H.

Q - Is there regular bus service available at UBC Okanagan?

A - Yes, there are several buses that come onto campus. Please visit the Kelowna Regional Transit System webpage at www.busonline.ca/regions/kel/ for specific route information, fares and schedules.

Q - Are there laundry facilities available?

A - Laundry facilities can be found on the 2nd, 3rd and 4th floors of the Nicola, Valhalla and Kalamalka buildings. Laundry facilities are also available in the C building within the Cascades Apartments. Laundry cards can be purchased from a SMART card dispenser in the Nicola building.

Q - Do you have internet access?

A - All rooms have a high speed internet modem in which all guests are able to connect their computers to. Computers with high speed capabilities need to be connected to the modem via an ethernet cable and the internet should be up and running (please ensure that wireless internet connections are disabled).

Q - Are there food services available on campus?

A - The Green Thread Café is located in the University Centre which operates Monday to Friday from 8am to 4pm. There is also a Tim Horton's in the first floor of the Library Building. There are also restaurants which deliver to UBC Okanagan. Please see our Front Desk for a listing of restaurants that deliver and a listing of restaurants that are close to the university.

Q - What kind of housekeeping service is provided?

A - All rooms (unless there is a special conference concession given) are set with bed linens, towels, a small bar of soap and a plastic drinking cup. Towels are exchanged and garbage is removed every fourth day. Bed linens and towels are changed, and rooms and bathrooms are cleaned weekly.

Q- What kind of equipment is included in the fully equipped kitchens?

A - All fully equipped kitchens have a fridge, microwave and stove. There are 10 Cascades Apartments, and all Monashee Studio and One Bedroom Suites that are fully equipped with dishes, pots & pans, cutlery, toaster, coffee maker etc. The other Cascades Apartments are not fully equipped with cooking utensils.

Q - When can I check into my room? Am I able to check into my room earlier in the day?

A - Check in is at 3pm on the day of your arrival. Conferences & Accommodation at UBC Okanagan can not guarantee early check in, however if you arrive early and your room is ready you may check in at that time.

Q - When am I expected to check out of my room?

A - Check out is at 11am.

Q - How can I pay for my reservation?

A - Conferences & Accommodation at UBC Okanagan will accept cash, travellers cheques (no personal cheques), VISA, MasterCard, American Express and Debit.

Q - Are there any wheelchair accessible rooms?

A - There are a limited number of rooms that are wheelchair accessible. If you require a wheelchair accessible room please inform us while making your reservation (either over the phone or in the comment section of the online reservation).

Q - Are there any age restrictions to stay on campus?

A - Any guests under the age of 18 must be accompanied by a parent or adult chaperon.

Q. - What do I do if I am part of a group and the on line section says there are no rooms available?

A. If it shows that a room type is not available it means either that there are no more rooms available in that room type or that the room block has expired (30 days prior all rooms are released). You may call our toll free number and if there is availability you may make your reservation by phone.

Q - Can I rent a room during the fall or spring?

A - No. UBC Okanagan Conferences & Accommodation operates from May to August each year. All residence space is used for students during the academic year, September to April and during this time we are unable to accommodate guests.

Q - Am I able to stay for an extended period of time, like a month?

A - Long term stays are based on availability and are typically only offered during May and June. If you are interested in a long term stay with us please contact the Front Desk Coordinator via our toll free number: 1-877-589-6073.

Q - Is there a bank machine on campus?

A - There are two bank machines on campus. One located in the lower level of the Student Services Centre and the other located in the University Centre.
